What happens long term — do I own the website?
Yes. Once your agreed term is complete, the website is yours. We continue to host and support it if you’d like, but you’re never locked in unnecessarily and it can be migrated to your own hosting once your payments are all complete! That being said, we’re confident that this is a long term relationship that you’ll never want to end.
How does payment work?
You can pay for your website in one payment for a discounted rate or we offer manageable monthly instalments, so you can spread the cost rather than paying a large upfront fee if you opt for any additional services with us.
Is SEO included?
Your website will be built with strong SEO foundations to help you rank locally. Ongoing SEO campaigns are available if you want to grow further starting at £300 per month.
What happens if I need changes in the future?
We offer ongoing support packages, so content updates, new pages or improvements can be handled quickly and professionally.
Do you provide ongoing support after the site goes live?
Yes. We can provide a number of website management packages which helps keep your website updated and online. These include hosting and maintenance starting at £50 per month or ongoing support packages starting at £150 per month which enables us to upload content to the site and make changes to your content whenever you request it.
Will my website be mobile-friendly?
Yes. The majority of your patients will research your services on mobile first so your clinic website needs to be fully responsive and optimised for mobile, tablet and desktop devices.
Can patients book appointments directly through the website?
Yes. We can integrate your existing booking system or implement one that works seamlessly for your practice. If you don’t have one set-up yet, we can advise on the best appointment booking system for you (just be mindful that this is a third party product that will incur a small subscription fee).
Will the website help generate more bookings?
Absolutely. The website will present a professional look and feel that builds trust with your patients so they’re inspired to press the Book An Appointment button. We’ll also integrate any appointment booking software you already use to seamlessly integrate with your existing processes. If you don’t get any many visits to your website, we can work together on complimentary services that help grow your patient base including SEO to grow your Google rankings or Google Ads.
Will my website be designed specifically for my clinic?
Yes. Every site is professionally designed around your brand, services and target patients. We’ll utilise your brand colours and integrate a look and feel that you define with us at the outset of working together. Our websites use a bespoke template on WordPress that enables you to make changes long term.
How long does it take to build my clinic website?
Most websites are completed within 8 weeks, depending on the size of the project and how quickly we receive your content and feedback. If you don’t have your clinic’s content, this is a bolt on service that we can provide pricing for when you choose to work with us or we can launch with content that we have and improve this over time.
How often should we email our patients?
The amount of emails that we send to your clients will depend on the amount of contacts you have and your exact email requirements. As a starting point we’ll usually recommend a monthly newsletter which packs a variety of different aspects into each email as well as running separate email campaigns at different points in the year depending on your requirements.
How much should a clinic invest in email marketing?
Budgets vary based on list size, campaign complexity, and frequency. Our base package costs £300 per month and covers one email newsletter per month. You can then add on additional emails on an ad-hoc basis if required. Our email automation service is a one off project priced depending on the complexity of your CRM and the amount that you require automating. We’ll always recommend our monthly maintenance alongside any email automation that we carry out to ensure we are on hand to fix any issues or make tweaks as required at the drop of a hat.
Is there a minimum contract length?
No. Like all of our services, email marketing runs on a 30-day rolling agreement. You’re free to cancel or adjust your package with one month’s notice.
Do I need to pay for my own email marketing tools?
Yes. We’ll always gain access to your email marketing platform which is paid for by you. This has a number of benefits for you, including full ownership of any work that we produce for you. If you decide to leave, you’ll have access to all of your own campaigns so you can pick up where we left off.
Do you integrate with our existing booking or CRM system?
This will all depend on your existing CRM how much customisation we can add into your automations. With some platforms we can utilise APIs to integrate your automations to email software like MailChimp, whilst others will require us to set the functionality up within the platform itself. Whicher route we go down, the end result will always be the same, reduced no-shows and a more enhanced patient experience.
Can email marketing help us reduce cancellations and no-shows?
Our automated email service can help reduce cancellations and no-shows. We’ll craft your automated emails to prepare people for their appointments and ensure they have all of the information they need. We can also use these to reinforce your clinic’s terms and conditions so it won’t be a shock to the patient if they forfeit any refund by cancelling with an hour’s notice. We can provide all of these as part of our email automation package.
Will our emails comply with GDPR and privacy laws?
Yes, compliance is a priority. All of your campaigns will only be provided to patients who opt in to email marketing. If your email marketing uptake is low amongst your patient base then we will provide you with advice to be circulated amongst your team to encourage uptake.
Can you create automated emails for patient journeys?
Yes, we offer a separate one off package which helps you set up your patient automations. If you want us to provide you with ad hoc support to manage these automations, we can also provide you with an automation maintenance package where we regularly check functionality and repair issues free of charge.
How do you measure success with email marketing?
When it comes to tracking the success of email campaigns, we ultimately want to see an uptick in patient bookings off the back of each campaign. In order to do this, we may have to create specific landing pages on your website which enable us to monitor success better. If the end goal of an email is not to inspire direct bookings we’ll monitor opens, clicks and engagement to ensure that the emails are hitting the right tone and to enable us to learn for future campaigns.
Will you design and write the emails for us?
Absolutely. All of our campaigns include professional design, exciting written copy, and clear call to actions. We’ll work closely with you to ensure each email aligns with your clinic’s tone of voice and objectives. We’ll then of course schedule and send it using the email platform of your choice.
Can you help us build our email list?
Yes. If your current database is small, we can provide strategies to grow it, including website lead magnets to social media sign-ups and patient referral programs. The quality of your list is just as important as its size, so we focus on building it the right way. If you opt for other channels with Clinica Digital we can also make it a campaign KPI to grow your patient list through a variety of initiatives.
What budget should a clinic set aside for social media management?
Budgets vary depending on the size of your clinic and the level of activity you want to run. We’ll only ever recommend a budget if we believe we can generate a clear return on it. In practice, most clinics we work with start on our entry package at £400 per month, which covers regular content creation and posting. From there, we can scale up depending on whether you’d like more frequent posts, video production, or paid campaigns. Our focus is always on making sure your investment brings in more value than it costs.
Is there a contract or minimum term?
No, we don’t lock clients into long-term contracts. All of our agreements work on a monthly rolling basis, giving you full flexibility. If you decide the service isn’t right for your clinic, all we ask for is one month’s notice. This way, you can test our approach without risk, and if you’re happy with the results (as most of our clients are), you’re free to continue for as long as you wish.
How do you make sure posts comply with healthcare advertising rules?
We understand the importance of compliance in healthcare marketing. For paid campaigns, we make sure all content follows Google and Meta’s strict advertising policies to avoid disapprovals or penalties. Organic content offers a little more flexibility, but there are still rules around claims and sensitive conditions. We’ll ensure everything we create stays within platform guidelines while still being engaging and informative for your audience. This way, you can be confident your content is both effective and fully compliant.
Do you manage reviews and patient messages too?
Reviews and direct messages are best managed by your internal team, as they often require a quick and personal response that only you can provide. However, we don’t leave you on your own. As part of your campaign, we’ll give you practical recommendations, tools, and response strategies to make handling reviews and messages easier. We’ll also share our clinic-specific best practice guide at the start of your campaign and continue to support you during check-ins to make sure your patient interactions stay positive and professional.

For most clinics, Instagram and Facebook deliver the strongest results, as these are the platforms people turn to when researching treatments or checking out local providers. That said, we don’t take a one-size-fits-all approach. For some clinics, platforms like LinkedIn or TikTok may be worth exploring, depending on your services and patient base. During our initial consultation, we’ll advise you on the right platforms for your clinic so your time and budget are focused where they’ll make the biggest impact.
Can you help us grow our following as well as generate enquiries?
Yes, but we approach follower growth in a sustainable way. Our focus is on producing consistent, valuable content that attracts genuine patients rather than chasing vanity metrics. Alongside this, we’ll share easy, low-effort strategies your team can use to steadily increase your following alongside your campaign. These might include encouraging patients to engage with your content, using specific community hashtags, or running light-touch promotions. All of this will be covered in your regular strategy sessions so your growth feels steady and authentic.
How do you measure success on social media?
Social media success can be measured by several metrics, the most common are: –

Can you manage both day-to-day posting and paid campaigns?
Yes, we can support you with both organic content and paid social campaigns. The two are managed differently, so pricing reflects that. Paid ads require extra attention — from audience targeting to ongoing optimisation — to make sure you get the best possible return on your investment. From there, we can scale up to more frequent posting depending on your goals, the size of your audience, and how much content you’d like to share. Is there a minimum contract length?
